We are seeking a dedicated and detail-oriented Administrative Specialist to join our team.
The ideal candidate will play a crucial role in ensuring smooth day-to-day operations by managing various administrative tasks in a fast-paced environment.
Responsibilities:
Bookkeeping:
Maintain accurate and up-to-date financial records.
Process invoices, receipts, and payments.
Assist in payroll processing and reconciliation.
Collections:
Make collection calls to customers for outstanding payments.
Follow up on overdue accounts and facilitate payment arrangements.
Clerical Work:
Perform general clerical duties, including data entry, filing, and document organization.
Ensure client accounts are fully insured Customer Interaction:
Answer incoming phone calls and provide excellent customer service.
Greet customers as they enter the dealership with a friendly and professional demeanor.
Assist customers with inquiries, appointment scheduling, and basic information.
Sales Support:
Process payments and handle financial transactions accurately.
Assist in sales closing paperwork, ensuring all necessary documents are completed and filed correctly.
Handle compliance paperwork, ensuring adherence to legal and regulatory requirements.
Parts Management:
Order car parts as per the dealership's requirements and customer requests.
Maintain inventory records and track parts shipments.
Coordinate with the service department to ensure timely availability of required parts.
Qualifications:
High school diploma or equivalent; additional certification in office administration or related field is a plus.
Proven experience as an administrative specialist, office administrator, or similar role.
Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
Excellent communication skills, both verbal and written.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Basic understanding of bookkeeping and accounting principles.
Ability to handle sensitive and confidential information with discretion.
Speak English and Spanish Previous experience in a dealership or automotive industry is preferred but not required.
