93 an hour 1 day ago 1 day ago 1 day ago Duties and Responsibilities Essential Duties and Responsibilities Perform administrative duties critical to successfully operation of the Global Import, Export, and Logistics Center.
Manage and maintain office and instructional equipment.
Maintain accurate and complete records related to instructional programs and external activities.
Coordinate internal and external activities that will take place in center as it relates to scheduling, technology coordination and facilities requirements.
Ensures computer labs are functional for instruction and coordinates with appropriate departments to address technology issues.
Ensure appropriate software for instructional programs are up to date and operational.
Must follow standard office procedures, be responsible for college work-study employees or clerks, and perform all duties assigned by faculty, Global Import, Export, and Logistics Center Chair, Dean of Workforce Education or Provost/Vice-President of Academic Affairs.
Characteristic Duties and Responsibilities Performs administrative/receptionist duties such as typing, mailing, maintaining required records, answering the telephone, taking messages, scheduling appointments, greeting Global Import, Export, and Logistics Center visitors, filling, recordkeeping, sending and receiving activity data, scheduling, applying office procedures and policies, bookkeeping, and other administrative functions.
Performs the associated duties related of a cost clerk, prepares, and submits requisitions and keeps track of budget expenditures, and maintains supply inventory.
Reviews, processes, and ensures departmental forms such as Faculty Leave Reports, Travel Requests/Reports, Requisitions, and all other forms are accurate, complete and are accompanied with the appropriate required documentation.
Maintains a high level of confidentiality to upkeep classified files and records of students, faculty, and staff.
Maintains an effective and efficient file management system of the Global Import, Export, and Logistics Center office.
Keeps accurate property inventory records for the department office, faculty offices, lab rooms, and classrooms.
Assists the Global Import, Export, and Logistics Center Chair in budget planning and preparation.
Submits work orders for building and equipment maintenance.
Works with the Global Import, Export, and Logistics Center Chair to input catalog changes and submits to appropriate office for approval.
Prepares the Global Import, Export, and Logistics Center meeting minutes.
Prepares, processes, and checks for accuracy on all Faculty Course Overloads and Adjunct Agreements.
Assists in contracting Adjunct Faculty regarding class assignments.
Assists the Global Import, Export, and Logistics Center Chair/Director in scheduling substitutes for absent instructors.
Distributes student evaluation results to faculty.
Inputs and revises semester class schedule in the Banner system as requested by the Global Import, Export, and Logistics Center Chair and approved by the Dean.
Prepares class status change forms as needed.
Assists the Global Import, Export, and Logistics Center Chair/Director in preparing curriculum revisions to be submitted to the Dean and curriculum committee.
Supervises work-study employees, including interviewing and hiring, formulates work schedules, assigns duties, verifies work hours, completes performance evaluations, provides training in office procedures, polices, and operation of office equipment.
Must have knowledge of word-processing and spreadsheet, prefer knowledge of Microsoft Word, Excel, and similar software programs.
Must be able to understand and follow brief oral and written instructions, demonstrate organizational skills, exhibit excellent command of English grammar and spelling, and must be articulate in English and Spanish.
Must have pleasant telephone voice and use proper telephone etiquette.
Demonstrates initiative, maintains a pleasant, cooperative, and positive attitude, and communicates well with the public and other college employees.
Helps maintain quality instructional support and maintenance of necessary computer equipment.
Helps monitor center tutoring lab, resource room, and assist students/industry stakeholders as needed.
Assist faculty in the facilitation of experiential learning activities through the coordination of lab rooms and learning spaces.
Assists in maintaining and organizing technology equipment and computer inventories.
Performs other duties assigned by the Global Import, Export, and Logistics Center faculty, Chair, Dean, and Provost/Vice-President of Academic Affairs, or President.
Qualifications/Certifications/Licenses/Skills NOTICE:

Required:
Associate Degree from an accredited institution with course work and/ or training in administrative support procedures; office management, and record keeping.
3 years administrative experience; working knowledge of computer systems and technology.
Preferred:
Associate Degree from an accredited institution with coursework in import, export or logistics field.
3 years of administrative experience in import, export or logistics field.
Knowledge, Skills and Abilities Must reflect appropriate office and telephone etiquette procedures and should articulate in Spanish and English.
Must have a cooperative attitude and be able to communicate effectively with students, campus visitors, and college staff.
Maintain the proper care of office equipment, for maintaining an efficient work area, and for keeping accurate records.
Must possess effective clerical and office administrative skills such as filing, work processing and be able to use modern office equipment.
Must have the ability to type with a high degree of accuracy, proficient in clerical skills and knowledgeable of office machines, proficient in the use of microcomputer applications, Microsoft Word, Excel, and internet.
The use of microcomputer is required, and the use of database and spreadsheet application programs is preferred.

The employee is occasionally required to stand, walk, stoop, kneel, or crouch.
