Examples of Duties Maintains record of invoices received from vendors and delivered to auditors after processing.
Responsible for scheduling meetings and activities.
o Maintains files and records so they remain updated and easily accessible Takes notes of meetings and dictations.
Processes requisitions and requests for payment for department.
Assists in making travel arrangements and booking venues for conferences and events.
Posts receipt of goods ordered for department Corresponds with vendors and responds to inquiries.
Maintains inventory of equipment and supplies.
Screens invoices and general purpose requests for payment for completion and contacts departments to request missing information.
Reviews statements to determine if outstanding invoice history is accurate and requests missing invoices from vendor so that accounts can become current.
Reviews notices, investigates and resolves by contacting the vendor and reviewing payment history, and escalates issues as necessary.
Creates electronic invoice documents by scanning all invoices with supporting documentation.
Renames all scanned documents to generate electronic invoices that will be used to process payment.
Creates and maintains daily electronic invoice files and prepares daily invoice report.
Reviews all work for completeness.
Performs any other duties as assigned.
Qualifications Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
Must have a high school diploma or GED from an accredited institution.
Must be able to type 50 wpm.
Supplemental Information Knowledge of modern office practices and procedures.
Knowledge of county and departmental policies and procedures.
Knowledge of computers and job-related software programs.
Skill in oral and written communication.
Skill in prioritizing, organizing and multi-tasking.
Skill in use of standard office equipment.
o Skill in customer service practices.
Ability to communicate in English and Spanish, preferred.

Estimated Salary: $20 to $28 per hour based on qualifications.
