75 an hour 4 days ago 4 days ago 4 days ago Duties and Responsibilities Essential Duties and Responsibilities The Administrative Assistant to the Dean is responsible for job duties associated with the operation of the office.
This individual supports the Dean's efforts to provide planning, leadership, and direction for the designated areas of job responsibility.
The Administrative Assistant reports directly to the Dean of Community Education Division.
Characteristic Duties and Responsibilities Facilitates communication with the Provost/Vice-President of Academic Affairs, Deans, Department Chairs, and Directors.
Assists the Dean in the preparation of the annual budget for the respective areas.
Reviews, processes and ensures all departmental forms such as Faculty Leave Reports, Travel Requests/Reports, Requisitions, and all other forms are accurate, complete and are accompanied with the appropriate required documentation.
Streamlines, and ensures all departments under the Dean follow established guidelines and procedures set by the Office of the Provost/Vice-President of Academic Affairs.
Prepares requisitions for the Dean's Office, keeps track of budget expenditures, and maintains supply inventory.
Collects and prepares information or materials requested of the Dean by the Provost/Vice President of Academic Affairs.
Performs general office and clerical responsibilities for the Dean's Office including:
answering the telephone and taking messages, scheduling appointments, greeting office visitors, and answering questions on general information regarding the College and the Dean's Office.
Maintains confidential files and records of students, faculty, and staff.
Maintains an effective and efficient file management system for the Dean's Office.
Assists the Dean with organizing meetings and coordinating division functions.
Makes travel arrangements and prepares materials needed by the Dean for conferences.
Compiles information and assists in preparing state or federal reports as required by the Dean's Office if necessary or when needed.
Coordinates the distribution and collection of all student evaluation forms; compiles results, photocopies, and distributes them to appropriate departments and the Dean.
Assists the Dean with the evaluation process of tenured and non-tenured faculty.
Reviews, processes, and checks for accuracy on curriculum revisions to be submitted to the Provost/Vice-President of Academic Affairs for approval and submission to the Texas Higher Education Coordinating Board.
Inputs class schedule changes, updates, and opens or closes classes as requested by each respective department into the Banner system when necessary.
Reviews, processes, and checks for accuracy on all Faculty Course Overloads and Adjunct Agreements received by each respective department and submits to Human Resources for further processing.
Calculates student overload pay for each faculty member and submits to Human Resources for further processing.
Reviews, processes, and checks for accuracy each respective department's catalog changes and submits to appropriate office for approval.
Takes minutes of Department Chairs/Heads meetings conducted by the Dean.
Keeps accurate records of the Dean's Office property inventory.
Attends all required professional development activities and trainings when necessary.
Perform other duties as assigned by the Dean, Provost/Vice President of Academic Affairs and President.
Qualifications/Certifications/Licenses/Skills NOTICE:

Required:
Minimum of one year of college course work and/or five years related experience and/or training in secretarial procedures, office management, and record keeping.
Secretarial experience in an educational setting or general office administration may be substituted for education.
Minimum of five years' experience in a higher education institution.
Preferred:
Associates Degree Knowledge, Skills and Abilities The Administrative Assistant must reflect appropriate office and telephone etiquette procedures and should be articulate in Spanish and English.
In addition, this individual must have a cooperative attitude and be able to communicate effectively with students, campus visitors, and college staff.
The Administrative Assistant is responsible for the care and maintenance of office equipment, for maintaining an efficient work area, and for keeping accurate records.
This individual must possess effective clerical and office secretarial skills such as filing, work processing and be able to use modern office equipment.
The Administrative Assistant must have the ability to type with a high degree of accuracy; proficient in clerical skills and knowledgeable of office machines; proficient in the use of microcomputer applications; Microsoft Word, Excel, and the internet.
The Administrative Assistant should have advanced word-processing skills and be able to use advanced word-processing techniques to prepare quality documents.
The use of a microcomputer is required, and the use of database and spreadsheet application programs is preferred.

Physical Requirements While performing the duties of this job, the employee is regularly required to sit.
The employee is occasionally required to stand, walk, stoop, kneel, or crouch.
The employee must occasionally lift and/or move items weighing up to 50 pounds.
